Privacy Policy

Effective date: August 10, 2025 Exam Rank Lookup Service

This policy explains how Examrank.in We collects, uses, shares, and protects information when you submit an official exam-results URL and we crawl that public page to extract your name, roll/registration number, and marks to compute and display your rank (the “Service”).

1) What this policy covers

  • Our website and APIs that accept an exam-results URL and return a computed rank.
  • Any browser- and device-level data captured to run and secure the Service.

This policy does not change the exam authority’s own privacy policy or terms. Their handling of exam data on their site remains governed by their policies. We act as an independent data controller (India: data fiduciary) for the processing we perform. We do not represent or act on behalf of any exam authority.

2) Information we collect

A. Data you provide

  • Exam-results URL you paste or submit (e.g., a page publicly shared by the exam authority).
  • Optional inputs you type (e.g., roll number, DOB if required on the public page).

Do not submit passwords, OTPs, or credentials, and don’t provide URLs that require you to be logged in.

B. Data we parse from the exam-results page

  • Identifiers: name, roll/registration number, candidate ID (as displayed).
  • Scores/marks: subject-wise marks, total, percentile, qualifying status.
  • Exam metadata: exam name, year/session, category if shown, center/school if shown.

C. Data we derive

  • Computed rank (and, when available, category rank or percentile-based rank).
  • Normalized fields (e.g., standardized formats for roll number/exam name).

D. Technical & usage data (website operation)

  • IP address, timestamps, user agent, device/OS/browser, referrer.
  • Basic event logs and error diagnostics.
  • Cookies for security/session; optional analytics cookies (with consent where required).

3) Where we get the data

  • Directly from you when you submit the URL/inputs.
  • From publicly available exam-results pages hosted by exam authorities.

We do not scrape behind logins or paywalls, and we do not attempt to bypass technical access controls.

4) Why we use your information (purposes & legal bases)

  1. Provide the Service: fetch the result page, extract relevant fields, compute and display your rank (Legal bases: contract performance; legitimate interests).
  2. Integrity & security: prevent abuse, troubleshoot, detect anomalies or automated misuse (Legal bases: legitimate interests; legal obligations).
  3. Improve the Service: anonymized/aggregated statistics to enhance parsing accuracy and rank algorithms (Legal bases: legitimate interests; consent where required for analytics).
  4. Compliance: respond to lawful requests and takedown notices (Legal bases: legal obligations; legitimate interests).

We do not use exam results for advertising or create marketing profiles from your marks/roll number.

5) Storage & retention

  • Transient processing: We fetch the submitted page, compute rank, and display the result.
  • Short-term caching: We may cache parsed fields and computed ranks for up to 24 hours to improve speed and reduce load on exam sites. You can request an immediate purge.
  • Logs: Basic server logs (IP, user agent, timestamps, error traces) retained up to 30 days.
  • Debug data: In rare cases, a snapshot of the public page may be stored for troubleshooting for up to 7 days.
  • Aggregated/anonymous metrics: Retained longer as they no longer identify you.

6) Sharing your information

  • Service providers (processors): hosting/cloud, caching/CDN, error logging, analytics—bound by contract.
  • Legal & safety: to authorities or third parties if required by law or to protect rights, users, or our systems.
  • Exam authorities: we do not proactively send your personal data. If we receive a valid legal/takedown request regarding their content, we may share limited technical information to address it.

We do not sell personal information and do not share it for cross-context behavioral advertising.

8) Your rights & choices

Depending on your location, you may have rights to access, correct, delete, object, restrict, withdraw consent, and request data portability.

  • Request cache purge or deletion of your parsed results.
  • Ask for an explanation of how your rank was computed.

9) Children & students

Exam data may include minors. We process only what is publicly available or lawfully shareable by you. If you are under the age where consent is required in your region, have a parent/guardian or your school submit the URL. Verified requests from parents/guardians or schools to remove cached results involving minors will be honored.

11) Security

We use encryption in transit, hardened infrastructure, least-privilege access, monitoring, and regular reviews. No system is perfectly secure; if a breach affects your data, we will notify you and/or regulators when required by law.

14) Changes to this policy

We may update this policy from time to time. We will post the updated version with a new effective date and, for material changes, provide additional notice.
